When should you use a review reply template?

A saved reply can help when you manage your own listing and want a thoughtful starting point after checkout. Pick the version that fits the guest’s feedback, then make it sound like you and refer only to details you can stand behind.

Copy the wording in the template, replace the bracketed fields, and remove any line that does not fit. For more host-ready copy, browse our free hosting templates.

How do you fill in each field?

  1. Guest name: Add the guest’s first name if you normally address guests that way. Leave it out if you prefer a more general reply.
  2. Specific detail: Mention one real part of the stay, such as a kind note, an easy check-in, or a concern the guest raised. Keep the detail relevant to the review.
  3. Action taken: For mixed or negative feedback, say what you did or will do about the issue. Use a concrete action only if it is accurate; otherwise, remove that sentence.
  4. Your sign-off: Add your name or hosting team name if you use one. Keep the ending simple and consistent with your usual guest messages.

Before posting, read the whole reply as if you were a future guest. A useful response is warm, brief, and specific without sharing private details about the stay.

What mistakes should you avoid?

  • Do not paste the same reply without checking whether its details fit this guest and stay.
  • Avoid arguing point by point or blaming the guest. A calm acknowledgment usually reads better to someone deciding whether to book.
  • Do not promise a fix, refund, or change unless you intend to follow through.
  • For a negative review, avoid adding details that are not needed to explain your response. Keep the wording factual and focused on the hosting experience.
  • Do not write a guest review from memory alone. Use accurate observations about communication, the home’s condition, and how the stay went.

Can software help you use review replies?

BnBGenius describes guest messages, reviews, and upsells as automated 24/7, and says it works with Airbnb and Vrbo without login credentials, with a 5-minute setup. Its review automation creates AI-written reviews from real stay data and drafts them the day after checkout for you to approve.

That review feature is for drafting reviews based on stay data; this page’s copy-and-paste replies are for responding to guest feedback. See BnBGenius review templates for another set of examples.

Frequently asked questions

What should I say in a reply to a positive Airbnb review?

Thank the guest, mention a real detail from the stay, and close warmly. You do not need to repeat the whole review.

How do I respond to a negative Airbnb review?

Keep your tone calm, acknowledge the concern, and state a relevant action if you took one. Avoid arguing or adding details that do not help explain your response.

Should I reply to every Airbnb review?

Use your judgment and choose wording that reflects the stay. A template can save time, but make each reply fit the review instead of posting a generic response.
